Every engagement begins with a written scope letter that names the permitted activity, the source records in play, the retention envelope and the two named signatures required to release the file. Records that fail intake, conflict or independence checks are logged in the rejection register with a reason code and are not released.
Every released record passes a two-stage supervisory sign-off — stage one for internal consistency and source coverage, stage two by a named senior reviewer outside the originating team — and is sealed into the archive with a numbered release identifier. The firm retains the sealed version unchanged for the full retention period defined in the scope letter.
