Documentation Files That Touch Both Parent and Minor Records
Where a file contains records of both a parent and a minor, the lawful basis for each subject is recorded separately and the redaction rules are tightened accordingly.

Documentation engagements sometimes hold records that touch both a parent and a minor: a savings account opened in trust, a school fee transfer, a custodial gift entry, or correspondence in which a minor's name appears alongside the parent's. The file treats the two subjects separately even where the records themselves are co-mingled in the source documents.
The lawful basis for processing each subject's personal data is recorded independently. The parent's basis is usually the engagement letter the parent signed, while the minor's basis follows from the parent's parental responsibility and from the proportionality of holding the minor's data for the purpose the engagement actually serves.
Redaction rules are tightened for the minor. Where a minor's full name, date of birth, or school appears in a document and is not strictly necessary for the counterparty's review, the data is redacted in the version delivered to the counterparty, with the unredacted version retained inside the sealed file under a tighter access control.
Access controls inside the engagement reflect the same distinction. Operators with file access can read the parent's records by default and can read the minor's records only when their role requires it. The access log records both the principal subject and the minor as separate entries so that any access to minor data is individually attributable.

Retention of minor data is governed by a shorter default. The engagement retains minor data only as long as the parent's file genuinely requires it, and the retention review is triggered by the minor's data lifecycle, not by the parent's, so the minor's record is not held simply because the parent's file remains open for an unrelated reason.
Where the minor later reaches the age of majority during the engagement, the file records the change. The basis for processing the now-adult subject's data is reviewed, and where the original basis no longer supports continued processing the data is either removed from the active file or the new adult is contacted for direct authorisation.
Subject access requests from the now-adult subject relating to data held while they were a minor are handled against the same standards as any subject access request, with additional care taken to confirm that the requester is the same individual whose data was held earlier under parental responsibility rather than a different person of the same name.
Our scope is to handle the dual-subject file inside the engagement. We do not advise on family law, do not adjudicate disputes between the parent and the minor, and do not represent either subject to a regulator. The deliverable is a file that protects both subjects against the applicable standards.
