DC-Services UK Service Standards

Checks a counterparty can run against any matter

This page is written for a counterparty who has read the firmwide service standards and wants to know how to confirm those standards are being applied to their specific matter. It does not restate the standards themselves. The full statement of the firmwide standards — release tests, reason codes, retention — is owned by the method standards page and linked beside each verification step.

Verify by requesting a rejection-register extract

A counterparty can request a rejection-register extract for their own matter — what stage-one and stage-two refusals occurred, against what reason codes, on which drafts. The extract demonstrates that the firmwide acceptance gates have run, not merely been described. The internal definition of the rejection register and reason codes is owned by the acceptance gates page.

Verify by requesting a retrieval log on a sealed release

A counterparty can request a retrieval log for any sealed release on their matter: who accessed the sealed file, when and against which logged request. The log demonstrates that the controlled-access archive is in operation rather than asserted. The internal description of the archive itself and its retention policy is owned by the archive sealing page.

  • Written intake brief signed by the client
  • Conflicts screen and independence check
  • Defined deliverable list and retention envelope
01 · Module

Retrieval log on request

Counterparty may request the retrieval log for any sealed release on their matter.

02 · Module

Named accessor

Each entry names the person who retrieved the file and the request reference.

03 · Module

Timestamped entries

Each retrieval is timestamped against the controlled-access archive.

04 · Module

Evidence of separation

Log distinguishes archive retrieval from production-drive access.

Verify by comparing reissues to prior versions

A counterparty can place a reissue alongside the prior release and confirm that the prior release has not been overwritten — both versions are numbered, both carry their own signatures and both remain readable. The internal version-control rules sit on the retention management page; the verification step is the side-by-side comparison the counterparty can run from their own files.

  • Source hashing at intake
  • Role-based, time-bound access
  • Two-stage review before release
01 · Module

Side-by-side comparison

Counterparty places reissue and prior release alongside each other from their files.

02 · Module

Both versions readable

Prior version remains readable; it is not replaced or rescinded.

03 · Module

Distinct version numbers

Each release carries its own version number; reissues are not silent updates.

04 · Module

Separate signatures

Each version carries its own pair of signatures on the cover.

Verify by checking a refusal against the published exclusions

If the firm has declined a part of a request, a counterparty can match the recorded decline reason against the published list of activities the firm does not perform. A decline that quotes the published list is consistent with the firm's mandate; a decline outside the list should be queried with the secretariat. The published list is owned by the clarity check page.

01 · Module

Decline reason in writing

Each decline at intake is recorded against the matter with a written reason.

02 · Module

Match to published list

Counterparty matches the recorded reason to the published list of excluded activities.

03 · Module

Query route

Inconsistencies are raised with the secretariat for a written response.

04 · Module

No verbal expansion

Activities outside the list are not informally agreed by individual practitioners.

04 · Section

Verify by asking for a supervisory QA report extract

At the firmwide level, supervisory QA is reported into the board on a standing cadence. A counterparty may request the public part of that report — refusal totals, methodology amendments made in the period, reason-code trends — to read alongside the matter-scoped extracts above. The firmwide reporting cycle is owned by the method quality-assurance page.

01 · Module

Standing board cadence

Supervisory QA report runs on a standing cadence and is read at the board.

02 · Module

Public part on request

Counterparties may request the non-confidential extract of the period's report.

03 · Module

Methodology amendments listed

Report lists changes made to the documentation manual in the period.

04 · Module

Read alongside matter extract

Firmwide trends help interpret the matter-scoped rejection register extract.

Firm · Questions and answers

Questions clients ask about this page.

Short, factual answers stated in the same wording the firm uses in every scope letter, supervisory record and rejection-register entry.

Q01

What does Service Standards cover at DC-SERVICES UK?

This page is written for a counterparty who has read the firmwide service standards and wants to know how to confirm those standards are being applied to their specific matter.

Q02

Does Digital Claims Services Limited hold client assets or execute transactions?

No. DC-SERVICES UK is non-custodial. The firm does not take possession of client assets, does not place trades, does not act as a fund administrator and does not move funds on behalf of any party.

Q03

Does DC-SERVICES UK provide investment, tax or legal advice?

No. The firm produces structured documentation only. Investment, tax and legal advice fall outside the permitted activities and are not offered on any page of this site.

Q04

Who signs off the work that is released?

Every record passes a two-stage supervisory signoff. Stage one verifies internal consistency and source coverage; stage two, performed by a named senior reviewer outside the originating team, confirms release readiness. Released records are sealed into the archive; any rework is logged in the rejection register and re-entered into stage one.

Q05

How are conflicts and independence handled before an engagement starts?

Each engagement begins with a written scope letter, a conflicts register check and an independence screen. Records that fail any check are not released externally; the failure is logged in the rejection register with a reason code.
